These options must be set up on each computer (hence the name of the screen). If you are on a Local Area Network (LAN), and you want all of your PDF's to save in the same folder, you'll need to change the folder to your network drive. Click on the icon to the right of the PDF field, it should automatically select your mapped drive (usually w:), and the PDFs folder.
Name of Supply Charge
For some invoices, the name of the supply charge will replace the words 'Supply Charge'. We had one company use it for Credit card fee's.
Folder to save PDF's
Normally the PDF's that are created from invoices save to the current folder, usually wrench. However, if you would like to save them into a different folder, click the icon and pick the folder. There is a folder under wrench called pdfs that is made available for you. If you click the icon to the right, the program will automatically select the correct folder or you can change it. If you are on a network, and you have your server/main computer mapped as drive W:, then you will want W:\pdfs. That way all of the PDF's will save on the one main computer.
Images Folder
The images folder is where you will store your images that you might get from your camera or phone, so you can add those images to your repair order or vehicle. If you are on a network you might want to choose the images folder under the wrench folder on the 'server' computer, which should be a mapped drive. When you select pictures for your vehicles, the program will ask to copy the picture to the images folder you enter here. If you don't want the program to copy anything, just leave this blank... the the pictures will be wherever you selected them in the first place. On a network that really won't work because you might have pictures scattered among your network computers... hence the reason to create a folder on one computer and have the program copy the pictures to that one folder.
Help Files
Normally help files cannot be accessed from a workstation on a LAN. However, we added a workaround. From the workstation, select the icon to the right of Help Files, and it should automatically take you to the folder on your current local computer. Just select it. Normally it will be c:\wrench.
Other Checks
•Print External Docs - This allows the documents selected in the Notes area of the repair order to be printed after an invoice has been printed. See Notes to learn more.
•Attach External Docs - This allows the documents selected in the Notes area to be attached to the repair order when emailing the PDF of the RO/Invoice. See Notes to learn more.
•Print Labor Barcode in ToDo List - This only works if you have a ToDo List that can handle printing the barcode. The barcode helps for use in Labor Logger to allow a tech to find a labor item quickly.
•Super Inventory Lookup - Instead of the lookup being simple, it will use the normal inventory browse which has many more features. Only recommended if you really have more needs when looking up an inventory item. Can be overkill for normal everyday use. It may also be a security issue if you have employees.
•Auto Add Duplicates - When you are adding items (usually scanning them in with a barcode), then the RO will detect if the item is in the RO already, and ask if you want to add the item again, or just increase the quantity of the item that already exists in this RO. Checking this will automatically just increase the quantity without it asking. This is great if you're doing a lot of scanning. Just be aware there will be no warning.
•Display Inv Qty in ToolTip ** - This must be setup on each computer. It shows the remaining inventory when you highlight a part in the RO.
•Require Tech in RO - This forces you to select a technician in each RO you are working on.
•Init Email - is if you have to initialize the Email every time (in the email setup area) when you first use the program. This is due to a security issue that your anti-virus might be preventing.
Cash Customer
This is mostly for the Point of Sale. There is a cash customer button as you may not want to enter each customer into the computer when you are just selling parts (although it's a very good idea from a marketing standpoint). To set this up, create a customer called cash, then select that customer number here.
Default Tech
When creating an RO, it is easier if you select the technician first, then when you add labor or parts, it will automatically bring in that tech (which you can override of course). This makes it even easier, it brings in the default technician on each invoice so you don't have to remember.
Cash Drawer#
If you have multiple computers and multiple stations where you take money, enter the cash drawer# here. 0 is a number, so you can have a 0 and a 1. It simply adds the cash drawer# to each transaction record in the cash file, so you can print cash reports by the number. If you have only one computer or only one cash drawer, leave it at zero.
Ask for Backup
This should be left on on the main (server) computer only and turned off on any workstations. Workstations should be NOT running Digital Wrench when doing a backup. You should do a backup every single night.. it only takes a minute and can literally save you hundreds of hours of work if you lose your data. Always backup to an external source. These days you can get free backup areas on Microsoft (One Drive) or Google (Google Drive). Otherwise get a small USB drive, 4GB is plenty. The program creates a new backup for each day of the week, then starts over, so you might have up to 7 backups.
Auto Check and Assume Internet is On
Auto Check works if you have a constant internet connection. When you start Digital Wrench, the program will automatically check to see if any new codes exist. This is normally used for those that have a subscription. This way the program downloads the code, if there is one, when first starting up so you don't have to worry about getting the code manually.
This only needs to be done on one computer on the network, usually the server/main computer. It can be done on workstations, probably the one you first turn on in the morning.
Assume Internet is on should also be checked if Auto Check is checked.
FTP Fails. If your FTP fails and it cannot be fixed by other means (talking to your internet provider, making sure your Anti-Virus program isn't blocking us, etc.), then you can use the FTP Fails check. This is new as of 5/15/23 so still experimental. Do not use it if you don't have to.
If Digital Wrench is locking up on you when it starts up, it could be because of Auto Check. Perhaps your firewall is preventing Digital Wrench from accessing the internet, or more likely, an anti-virus program. Simply uncheck both of these and see if your problem goes away. (We do not SEND anything... we only check to see if there are updates or a new code for subscriptions, or a notice of importance).
