Reminder Master List

This browse shows all the reminders you have set up. When you complete a work order that includes a labor item that has a category related to the reminder list name, the program will find all items in the master list with that list name, then create a reminder.

 

This way you can have more than one reminder created for a labor item.

 

First, let's look at the labor category list that relates to the reminder list name.

Notice I can set more than one labor category to a particular list name. Don't worry, the program will only add one reminder per list, even if you have more than one labor item that has the same list name. For instance in the above screen, if I sell a labor item with the category of Lights, and a labor item with the category of Engine Repair, they both have the Inspections list. The program will only set reminders once for the Inspections List.

 

Advanced

 

You can use the reminder templates to create a 'Reminder List' immediately. Then you can send out email or print these 'reminders' right away. I put '' around 'reminders' as this isn't for a normal reminder, but a set of messages you want to send out. For instance a recall to a certain vehicle/unit. Or a request to come in and pay for overdue invoices. To get to this screen, click on the by List Tab.

The reminder list can be used for more than just automatic reminders for labor items. To make it easier, we've added tabs for the different template types. The first tab shows all of the reminder templates, no matter what they are.

 

The 2nd tab, by List, lets you select a reminder to create, and the template to use by the template list name. Remember, it is a list of templates, however you can only use one template to create manual emails using the Make Reminders button.

 

The Invoice Templates tab shows all Invoice templates that have the name Invoice, or RO in the list name. You can select one of these when you are Emailing out an Invoice for an RO. You can also set the Invoice Email to be automatically used in Email Setup.

 

The PO Templates tab shows all Purchase Order templates with the list name that includes PO or Purchase Order in the name. You can select one of these when you are sending out a purchase order Email from the PO screen.

 

The Email Templates tab shows all Templates that have the word Email in the template list name. These are usually used here to send out bulk emails.

 

 

 

Click on the buttonSelectListSelect List button. Once you've selected the Template List, highlight the Template you want to use to create the Reminder List.

To Make Reminders, First click on the dropdown with the arrow and select an option.

As of this writing, there are 4 options...

 

All Customers Vehicles - (You can use the Customer Fields, and the Vehicle Fields in the letter)

 

This option creates a reminder message for every vehicle in the system. So if a customer has more than one vehicle, it will create a message for each vehicle. Vehicle and Customer information are available. Do not use the Work order tokens as the RO and associated information is not available.

 

Selected from EList - (You can use just the Customer fields in the letter)

 

This option uses The EList that you need to setup in the Letter Editor (an optional program). You can have unlimited Elists. However Elists can only query by customer information and the vehicle/unit information simply gets the first vehicle the program finds, so it's better to use this for letters with just customer information.

 

Customer vehicles Query - (You can use just the Customer fields in the letter)

 

Using this option you will be presented with a Query screen, where you can create and store queries based on vehicle information. For instance you could query a certain year and model of a vehicle to send out a recall notice. Customer and vehicle/unit information are available so you can use that in your reminder template letter.

 

RO Query - (You can use Customer, Vehicle, and RO tokens in the letter)

 

Here you can query on repair orders (RO's) in the system by any number of ways. You will be presented with an RO Query screen so you can create and save a query. All customer, vehicle for the RO, and RO information is available (like invoice#, balance, paid, completed date, etc., so any reminder template will work. This is great for sending out reminders that a customer might need to pickup their vehicle, or pay for some invoices.

 

We will probably be adding other options as time goes on.

 

Once you've selected an option, just click on the Make Reminders button. Then you can go look at the reminders that have been created, and send them, or just look at them in wonder, and realize you've probably got the best software ever made.
