Graph Parts History

Previous pageReturn to chapter overviewNext page

There is now a graph button that will let you view history of one part. Find the part and highlight it. Then click on the graph icon button_graphInvat the bottom of the screen.

The graph will display using the highlighted part number.

From here you can choose to plot the graph by daily, monthly or quarterly. If the part wasn't sold in that month or quarter the month or quarter won't show up, so all dates for a time period will not necessarily show up. Click on the data tab to see what data is actually getting plotted.

You can select a date range, then click 'Date Filter On' check and the graph will redisplay. Note the small arrow under the Get Date Range button. This fills in the date range from the actual beginning and ending history dates that are available.

The Show Zero Dates Check adds all of the zero dates in between the dates already plotted so you can get a better picture of parts sold over a period of time. Be careful when plotting by the Daily option, as that could take quite a while to plot thousands of dates... we recommend not going over about 3 years. You'll get a warning if you have selected a date range over 5 years. The zero dates work well if you have monthly or quarterly checked instead of daily.

It is best to plot monthly or quarterly for longer date ranges.

You can turn off the Labels (the totals you see at the top of each bar in the above bar graph), turn off the amounts, or turn off the Quantities. Try it.

You can also right click on the graph for different options like copying the graph, printing, or changing the graph to a Pareto or Line Graph. The idea is to figure if you want to keep this item in stock or set the reorder levels in inventory. Again, Try it... because it's fun and informative!

Click on the Data Tab to see the actual Data that is being plotted by the graph.

Graph Purchased

You now see when the item was purchased, if it was ordered through the PO system.

And the data that is used to plot the graph:

The 'Zero Dates' does not work for the purchased data.

From here you can click on the SendTo button to print out this data.

The 5th Tab is called 'Best Selling'. This lets you select a date range and accumulates the totals of each part sold in that range to get a sold quantity, then it is sorted by either the Quantity, Retail, or Profit by selecting the Radio buttons at the bottom of the screen.

When you select a date range, you must turn on the Date Filter to apply it. This will also refresh the screen. Note that although it shows the first date and last date for each part, this is not necessarily true if you have a date range selected. The best thing to do here is play around with it. Oh, and Show Zero Dates does not function with the Best Selling list.

At the bottom of the screen is a zero with a drop down. You can select a different amount, or type one in yourself. Selecting 10 for instance would give you the top 10 sellers for that date range.

You can also highlight one of the parts and click on the button_graphInvGraph Button. The program will automatically take you to the Graph Sold Tab and graph your part so you can see how it did over a period of time.

You can print this out by clicking on SendTo and send it to a printer, a PDF, or a spreadsheet.
