This is where you can see all Estimates/WIP's/Invoices at once. There are many filters available.

You can think of this screen more like a report. You can use the filters on the top, change the order of the invoices and change the order of the displayed fields, then click on the SendTo Buttonbutton_SendTo  to create a report or spreadsheet or more.

 

You can view the highlighted RO but not change it. You can also print the highlighted RO by clicking on the Printer Icon at the top right (just to the left of the number 147). You can also print all of the invoices on the screen by clicking on the printer icon to the right of #147. #147 is the invoice that will print for all invoices. That way you can create a special invoice to print when bulk printing invoices.

 

Normally when figuring totals for a time period, you'll want to use the last date. Get Date Range helps you pick the range, or you can just type in the dates or use the little calendar icons. Then click on either Started for the date the invoices were started, Completed for when they were completed (whether or not you collected money), Due, or Last. Every time you pay on an invoice or add a deposit, the Last Date is filled in with today's date on the invoice. So you don't get invoices crossed over (like you completed it and got some money on the 28th, but got more money on the 3rd. Use the last date and select zero Balance, and Completed.

 

You can click on Totals on the bottom left. This is normally not checked because depending on the number of invoices, it takes time to total all of the invoices. This way you can see the totals and not have to print the report (using the SendTo Button) every time.

 

The Query lets you query on any field in the invoice. You can also use the blank field to the right of that Reset button. Let's say you want to find all of the invoices that have a Make that is a chevy. Create a new query by clicking on the Query button, then New. Scroll down and select wo:make. WO: is a work order field. Now select contains, then select the 'screenfield' which is at the top. Save and name the query. Now you can type in whatever you want in the field to the right of the Reset button, and select the query you just made to search all work orders/invoices that have that make of vehicle. You can then print a list with the SendTo button. You could also use this to find all Invoices of a certain amount.

 

 

 

And, just when you thought you'd have to study a bunch of numbers, there is a graph button button_graph2. This will change the display to a graph screen.

To get back to the list of invoices, simply click on the list button button_list

 

The first graph, Graph by Invoice, shows all RO's between the start or completed dates selected. You can also filter by using the status filter and the balance filter. Be careful when you look at this graph because it ONLY graphs invoices, not zero dates. For instance if you only did one RO per month and used the program for say 2 years, the graph might look pretty good, because the zero dates don't display. This Graph reflects the filters you use above and you don't need the Calculate button.

 

The rest of the graphs are plotted differently. They include zero dates from your date range, so when you look at the graphs, they are over that period of time, and it will look as you expect if you only do one invoice per month... few ups and many downs.

 

In order for the rest of the graphs to work, you'll need to click the calculate button button_calculate. We don't do that automatically because it may take some time to build if you have been using the program for several years. Every time you change the date range or select a different Status filter, you'll need to re-calculate.

This Graph helps to see trends for the year by the month. You can graph up to 5 years. We use this graph to give us excuses why the business isn't doing so well this month. It also helps to project when you should probably be doing more marketing and/or advertising.

Weekday Graph

 

The Weekday graph shows you when your sales are happening. There are a lot more factors to consider here, like who is working and if you're closed. The above graph indicates they are probably closed on Saturday and Sunday.

With the Hourly Graph, you can see when you are starting most of your transactions. This coincides with the Date Started. As of this writing we don't have a time completed, just a date completed.

 

Play with this, push some buttons, turn on or off some check marks. You can't hurt anything here. You can right click on the graphs and get different options, including printing the graph out.
